The Problems We Were Brought In to Solve

The client managed vehicle inventory for hundreds of dealerships, each with their own data sources, formats, and configuration needs. Their existing system was built on an aging platform that couldn’t keep up, and almost everything had to be done manually.

100% Manual Order Validation​

Inventory files arrived from different sources in different formats. Matching each file to the right dealer account was done by hand, and mismatches caused vehicles to silently disappear from live websites.

Engineering Ticket for Every Config Change

Any time a dealer needed to change how their inventory was set up — which data source to trust, how to segment vehicles, what listing rules to apply — it required a backend engineering ticket. There was no self-service option.

Full Inventory Re-Scan Every Import

A problem at any point in the pipeline stopped everything. There was no way to process only what had changed, so every import was a full re-run, slow and all-or-nothing.

No Draft Safety — Instant Live Errors

Configuration changes went live instantly and couldn’t be previewed or undone, one wrong setting could break a dealer’s entire website inventory.

There was no record of when a vehicle was listed, delisted, or had its data changed. Investigating a customer complaint meant hours of manual digging.
The result: dealers waited days to onboard new data sources, inventory errors directly hurt lead generation, and the team had no realistic path to scaling without a complete rebuild.

A fully automated, cloud-based inventory platform that handles everything from the moment a data file arrives — all the way through to a vehicle appearing on a live dealer website — with a self-service console.

The moment an inventory file arrives from any data source, the system picks it up, identifies the dealer it belongs to, and routes it — automatically. No manual sorting needed.
📍 Full Vehicle Tracking
Every vehicle moves through a clear pipeline with timestamps at each stage. Any change — listed, delisted, price updated — is logged with a full history.
🗂️ Drag-and-Drop Field Mapping
Dealers choose which data source supplies each piece of vehicle info (price, photos, mileage). Priority is set visually with drag-and-drop — no engineering needed.
📦 Inventory Segments & Rules
Dealers define groups (New, Used, Certified) using simple conditions. Listing rules control which sources are trusted and what happens if a source goes missing.
📝 Draft & Publish Workflow
Every configuration change goes into a draft first. Teams review exactly what will change before it goes live — preventing accidental errors on dealer websites.
🏢 Manual Feed-to-Account Routing
A single inventory feed can be split across multiple dealer accounts, or multiple feeds merged into one group site — all configured through the platform.
📸 AI Vehicle Addition
Take a photo of a vehicle — the system identifies the VIN, year, make, and model automatically. Manual inventory entry goes from minutes to seconds.
⏱️ Live Pipeline Status
When changes are published or a new feed is processed, a real-time status banner tracks progress across every stage — no guessing whether it worked.
