The Problem
A Growing Distribution Business Running on Paper & WhatsApp
Problem 01
Quoting Took Hours
Field bookers placed orders via WhatsApp messages. There was no structured record — orders were lost, duplicated, or misquoted on a daily basis.
Problem 02
All Orders Through Phone & Email
No one knew actual inventory levels without a physical count. Low-stock situations —
and stockouts — were discovered only after a customer complaint.
Problem 03
No Payment Tracking
Cash and cheque collections were tracked on ledger paper per booker. Reconciling
what was owed, collected, and outstanding took hours — and was always wrong.
Problem 04
Targets Were Invisible
Order bookers had monthly sales targets but no real-time view of their progress. Management had no way to monitor performance across the field team.
The admin had no live view of the business. Total revenue, shipped orders, pending payments, and stock levels all lived in different places — notebooks, phone photos, and memory. A week could pass before anyone knew the actual state of the business.
